This page explains what Helixiora Connect is, why it matters, and how to handle planning, travel, and expenses for it.
What you should do
- Treat Helixiora Connect as an important company moment, not an optional afterthought.
- Plan travel early and use reasonable booking choices.
- Follow the normal expense route for your contract form and keep receipts.
- Discuss hotels, flights, or other costs over EUR 200 with Robin in advance where possible.
- Tell Robin early if something may affect your attendance or travel plan.
What Helixiora Connect is
Helixiora Connect is our quarterly off-site.
It exists to give the team time together in person for things that work better face to face, such as:
- company alignment
- working sessions
- planning and discussion
- team connection
For a remote-first company, this is part of how we stay coherent as a team instead of becoming a loose collection of individual contributors.
Standard three-day format
Helixiora Connect normally runs across three days:
Day 1: Founder day
The founders review every part of the business. The goal is to create a clear shared picture of what is happening across Helixiora, what is working, what is not, and where attention is needed.
Day 2: Team day
The team discusses that review, adds more input, challenges assumptions where needed, and helps shape the plan for the next quarter.
Day 3: Fun day
The last day is for a bonding activity. This is deliberate, not filler. Stronger working relationships make the rest of the quarter function better.
Cost coverage
Helixiora Connect is fully covered by the company.
That includes reasonable event-related travel and stay costs, but the same judgment rules still apply:
- flights are economy
- public transport in the Netherlands is normally second class
- if trains are especially busy, first class is acceptable
- hotels and taxis should be reasonable for the situation
If you are unsure whether a booking is reasonable, ask before you book it.
Travel and expense handling
Use the normal expense process for your contract form:
- Deel if your setup uses Deel
- otherwise the email route that matches your contract form

Who owns or approves it
Robin and Walter own Helixiora Connect planning and expectations. Robin is the first point of contact for attendance, booking questions, and higher-cost exceptions.

- Deel or email for expenses, depending on your contract form
What happens if something goes wrong
If travel changes, costs increase, or you may not be able to attend, raise it early with Robin so the plan can be adjusted without last-minute surprises.
